NOTES ABOUT THE CONFERENCE:
- The Association conference attracts a diverse audience made up of program directors, staff, parents, community friends and federal representatives, all with a common interest in providing comprehensive early childhood and family focused services of the highest quality.
- As a non-profit educational/human services association, VAHSA does not award workshop presenters an honorarium. Speakers are asked to cover their own travel, parking and printing expenses as volunteers. Travel, hotel and all other expenses incurred as a result of presenting at the 2019 VAHSA Annual Conference are the responsibility of the presenter.
- Workshops will be 90 minutes long. Set-up time is minimal, so please keep that in mind when planning your presentation. Since this is a conference center, we are limited on how the rooms can be arranged. Most rooms will be set up classroom style.
- You will receive a copy of your submission in an email once you've completed the proposal. If you have any changes, please send to [email protected].
- Lead Presenters Only, Please provide a brief description of your company or consultant services, including information you want conference attendees to have, for the Presenter Information.
- Lead Presenter and one co-presenter/panelist who wish to attend the conference will be given a 10% discount on their registration fees. Details on how to register will be sent after workshops have been selected.
- If the lead presenter has not presented at a VAHSA conference in the past three years, please attach the lead presenters resume or curriculum vitae and, if applicable, a list of other conferences where they have presented or two references.
- As a lead presenter, you are our guest on the day(s) of your presentation, and your meals are waived for that day. You will need to indicate which meal you will be staying for, depending on your presentation schedule. Co-presenters are asked to pay for meals at a reduced rate.
- In order to have accurate food counts and ensure that we have materials for everyone, we need all presenters to register, even if you are only attending the conference to present. EVERYONE who presents must register for the conference by February 1, 2019. Even if you only present and then leave, you will still be required to register at no cost.
- Presenters representing vendors or consulting firms are asked not to sell or market items within the training session. They may provide more of their product/service information at an exhibit table. Please choose the option when submitting, to be notified when the Vendor registration opens and an email will be sent to you with more information.
- Each room will have a laptop, screen and projector. Please bring any additional items you may need. The Association will not provide flip-charts or any other items not listed.
- You will received notification of your proposal status by January 1, 2019. If your proposal is accepted, please have your handouts/Power Points ready to post on our website no later than March 1, 2019. The Association will post the handouts/presentations online by March 15, 2019 for the attendees. You will be notified closer to the conference the number of participants that have signed up for workshops. VAHSA will NOT provide handouts. Participants are encouraged to print/download and bring the handouts with them. The presenter may want to bring a few copies to have on hand.
DEADLINES:
- January 1, 2019 - Everyone should have been notified if their workshop has been accepted or not.
- February 1, 2019 - All presenters, co-presenters and panelists must be registered by this date. Our registration policy permits the lead presenter and one co-presenter to register at discounted rate. All other co-presenters/panelists MUST register at the regular rate if they wish to participate in the conference. If they plan to present and then leave, they must still register by February 1, 2019.
- March 1, 2019 - Any and all edits including description edits, presenter changes etc should be sent to VAHSA by email. Additional changes will not be included after this date.
- March 15, 2019 - All handouts must be received for each presentation and they will be posted on the VAHSA website and loaded into the app for the event.
